OFFICE MANAGER WANTED – Villegas Landscape

Villegas Landscape is looking to fill our open Office Manager position. The job requires you to maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, answering emails and phone calls, and providing general administrative support to our employees. Previous experience as a Front Office Manager or Office Administrator required. Bookkeeping is an essential requirement and proficiency with Quickbooks Online Program Is critical. You will be responsible for invoicing, generating billing statements, payroll, accounts payable, accounts receivable, and reconciling. Experience in the Construction Industry would be ideal. Qualified applicants will have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties.

PAY: $17-$19 per hour depending on experience


  • Errands and Shopping for the office
  • Schedule meetings and appointments and assist in preparing meetings
  • Weekly meetings with the owner, Joe
  • Client interface and relations
  • Creating and modifying office systems for efficiency
  • Maintain the office condition and arrange necessary repairs and maintenance
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Invoicing, generating billing statements, payroll, accounts payable, accounts receivable, and reconciling along with processing payroll tax withholding electronic transfer
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Proposal writing
  • Provide general support to customers
  • Assist in the onboarding process for new hires
  • Address employees’ queries regarding office management issues
  • Liaise with facility management vendors, including cleaning, and security services


  • Proficiency with Quickbooks Online
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
